About this Template

The Kaizen Newspaper is a "low-tech, high-impact" visual management tool used to capture, track, and manage small improvement ideas. Unlike a formal project charter, this is often a physical board located on the "Gemba" (where the work happens).

It solves the problem of ideas being forgotten. By publicly listing the Problem, the proposed Solution, the Owner, and the Status, the team remains accountable for daily continuous improvement.

Use this template to democratize improvement—encouraging every team member to identify waste and implement fixes immediately.

Pro Tip: Don't let the list stagnate. A rule of thumb is that any idea on the Kaizen Newspaper should be completed within 30 days. If it takes longer, it belongs on a Project Plan, not here.

KAIZEN IMPROVEMENT LOG NO. PROBLEM SOLUTION OWNER STATUS 01 Tool search time Shadow board M DONE 02 Leaking hose Replace fitting J 03 Messy cables...

Visual Management

Makes the status of improvements visible to everyone. If the board is full of uncompleted tasks, the bottleneck is obvious.

Accountability

Assigns a name to every idea. It empowers operators to own their workspace rather than waiting for management to fix it.

Momentum

Focuses on small, quick wins. Completing many small tasks builds "Kaizen Culture" faster than one giant, slow project.

Feedback Loop

Provides immediate feedback to the person who suggested the idea. Seeing their idea move to "Done" encourages more engagement.

Kaizen Newspaper Tracking

A continuous improvement log to move issues from "Identified Waste" to "Standardized Solution" efficiently.

Column 01

Problem Identification

Record the issue immediately during the Gemba Walk. Describe the Gap between the current state and the ideal state.

Example:

"Operator walks 10ft to retrieve labels for every unit."

WASTE FOUND
Column 02

Root Cause (5 Whys)

Do not just fix the symptom. Ask "Why?" five times to find the root cause. If you only clean the oil leak, it will come back.

  • Symptom: Machine stopped.
  • Root: No preventative maintenance schedule.
ROOT
Column 03

Countermeasure

Define the specific action to eliminate the root cause. This must be a permanent fix, not a temporary workaround.

Action:

Install gravity-feed rack at assembly station.

Column 04

Who & When

Accountability is key. Assign a specific Owner (not a department) and a realistic Due Date.

  • Owner: Sarah J.
  • Due: Nov 14th (Friday)
ASSIGNED
Column 05

Status (PDCA)

Use visual indicators (Red/Green dots or shaded circles) to track progress. We follow the PDCA cycle.

Cycle:

Plan → Do → Check → Act

Column 06

Standardize & Sustain

The job isn't done until the new method is documented. Update the Standard Work Sheet and train the team to ensure the improvement sticks.

  • Output: Updated SOP.
  • Audit: 30-day verification.
Methodology FAQ

Execution & Guidelines

What is the criteria for a "Quick Win"?

A "Quick Win" or Kaizen Event must be manageable. If it takes longer than 5 days or requires significant Capital Expenditure (CapEx), it is not a Kaizen—it is a Project.

Keep the scope small: "Fix the belt," not "Replace the conveyor system."
KAIZEN PROJECT

What if we don't know the Root Cause?

Never apply a solution without understanding the cause. Use the "5 Whys" technique. Ask "Why?" five times until you reach the systemic failure.

Example: Leak -> Seal broke -> High Pressure -> Valve failed -> Missed Maintenance.
ROOT CAUSE

How do we ensure the fix sticks?

A Kaizen is not "Done" until it is Standardized. If you change a process but don't update the SOP (Standard Operating Procedure) or train the team, the problem will return in 30 days.

The final step of every Kaizen is updating the documentation.
