About this Template
The SWOT Analysis is a foundational strategic planning tool used to evaluate the Strengths, Weaknesses, Opportunities, and Threats involved in a project or business venture. It provides a structured framework for analyzing both internal factors (Strengths/Weaknesses) and external factors (Opportunities/Threats).
By visualizing these four elements in a matrix, teams can develop strategies that leverage their strengths to capitalize on opportunities while simultaneously mitigating weaknesses and defending against threats.
Use this template during the Define phase of a project to set strategic direction, or as part of an annual business review to reassess your competitive position.
Pro Tip: Don't just list items. Use the analysis to create "TOWS" strategies: e.g., "Max-Max" strategies use Strengths to maximize Opportunities, while "Min-Min" strategies minimize Weaknesses to avoid Threats.

Conducting a SWOT Workshop
A SWOT analysis is best done as a collaborative team exercise. Follow these steps to ensure you gather diverse insights and move from analysis to action.
Step 01
Assemble a Diverse Team
Avoid "Groupthink" by inviting stakeholders from different departments (Sales, Customer Service, Product, Engineering). A SWOT created in a silo often misses critical external threats.
- Cross-Functional: Get multiple perspectives.
- Data-Ready: Ask the team to review[Image of customer feedback report] VOC data and financial reports beforehand.
- Safe Space: Ensure everyone feels comfortable voicing "Weaknesses."
Tip:
If the team is large, break them into smaller breakout groups for better engagement.
Step 02
Silent Brainstorming
To prevent loud voices from dominating, start with 10 minutes of silent ideation. Ask participants to write one idea per sticky note for each quadrant.
- Divergent Thinking: Quantity over quality at this stage.
- Be Specific: Instead of "Good Service," write "24/7 Support Response Time < 2min."
- External Focus: Remind the team that[Image of PESTLE analysis diagram] PESTLE factors (Political, Economic, Social) are crucial for Opportunities/Threats.
Step 03
Cluster & Prioritize
Group similar ideas together to remove duplicates. Then, use "Dot Voting" to identify the top 3-5 priorities in each quadrant.
- Convergent Thinking: Narrowing down the list.
- Root Cause: Is "Low Sales" a weakness, or is "Poor Marketing" the weakness causing low sales?
- Reality Check: Are the Strengths actually unique advantages, or just table stakes?
Step 04
Generate Strategies (TOWS)
Don't stop at the list! The goal is action. Match internal factors with external factors to create[Image of TOWS matrix strategy] TOWS strategies.
- S-O Strategies: How can we use Strength X to capitalize on Opportunity Y?
- W-T Strategies: How can we minimize Weakness A to avoid Threat B?
Outcome:
A prioritized action plan with owners and deadlines.
SWOT Analysis FAQ
Common Questions
What is the main purpose of a SWOT analysis?
It is a strategic planning tool used to evaluate your competitive position. Its main purpose is to connect internal factors (Strengths & Weaknesses) with external factors (Opportunities & Threats) to develop a comprehensive strategy.
What is the difference between "Internal" and "External" factors?
Internal factors (Strengths/Weaknesses) are things you have control over, like your team, intellectual property, or location.
External factors (Opportunities/Threats) are market conditions outside your control, like competitor actions, economic trends, or new regulations.
How do I turn a SWOT list into actual strategy (TOWS)?
Listing items isn't enough. You must match them to create actionable strategies. For example, match a Strength with an Opportunity to create a "Max-Max" growth strategy.
How often should we conduct a SWOT analysis?
SWOT is not a one-time event. It should be reviewed annually as part of strategic planning, or whenever a significant change occurs, such as launching a new product, entering a new market, or facing a new competitor.
